Gmail Memory

Gmail Memory lets Hana ingest email context into your organization memory so you can reference important inbox knowledge in chat.

What You Can Do

  • Ingest historical Gmail messages that match a filter.
  • Auto-track new matching Gmail messages over time.
  • Scope ingestion with Gmail query syntax and optional label filters.
  • Include supported attachments during ingestion.
  • Add use-case instructions to control how Hana should use this memory.
  • Enable auto resync for ongoing refresh.

Access and Permissions

  • Supported roles: Admin and Domain Owner.
  • Gmail OAuth consent is required before creating or syncing Gmail memory.

Create a Gmail Memory Batch

  1. Open Hana Dashboard -> Memory -> Gmail Memory.
  2. Click Create Gmail Memory.
  3. Choose action:
  • Track new emails (auto-tracking), or
  • Ingest existing emails (historical snapshot).
  1. Provide filters:
  • Gmail query (from:, subject:, newer_than:, etc.),
  • Optional label IDs,
  • Optional max results,
  • Optional attachment ingestion.
  1. (Optional) Add use-case instructions.
  2. Submit and monitor ingestion status.

Manage Existing Batches

From row actions, you can:

  • View chunks
  • Sync manually
  • Edit Gmail filters
  • Edit title
  • Edit use-case instructions
  • Enable or disable auto resync
  • Abort in-progress ingestion
  • Retry failed ingestion
  • Delete batch

Auto Resync

When enabled, supported frequency options include:

  • 1 day
  • 3 days
  • 1 week
  • 1 month
  • 3 months

Example Chat Invocations

@Hana summarize key customer escalations from inbox memory in the last 7 days.
@Hana list action items from finance emails tagged in our Gmail memory.
